Allocate

Why allocate WorkItems to others?

It's important in any organisation to be able to move workload between users. Levelling workload is also known as Heijunka - where you meet demand and reduce waste. Some users might have too much on their plate and others might have bandwidth to help  out. In the WebPlatform we achieve this by reallocating WorkItems between users.

Allocate Menu Options

Within the Allocate menu in WMS you are to view:

  • Allocate My WorkItems - allocate WorkItems which you are involved in / allocated to
  • Allocate My Teams WorkItems - allocate WorkItems which your team members are involved in / allocated to
  • Allocate My Departments WorkItems - allocate WorkItems which are related to your department
  • Allocate My Roles WorkItems - allocate WorkItems which are related to your job role
  • Allocate My Companies WorkItems - allocate WorkItems which are related to your company

Allocate My WorkItems page

When you go into the Allocate My WorkItems page, a grid will appear just like in My WorkItems displaying all the WorkItems you are able to allocate

Reallocating WorkItems:

You can reallocate WorkItems to another user in two different ways:

  • Reallocate a single WorkItem to another user
    • Select a single WorkItem in the list and click the allocate button, this will produce the allocation dialog box. Select the user to allocate the WorkItem to and provide a reason for the reallocation in the text box. The reason will be visible within the process notes of the WorkItem.
  • Reallocate multiple Workitems to another user
    • You can also allocate multiple WorkItems to a single user at the same time, to do this you need to hold down CTRL on your keyboard and select the WorkItems you wish to allocate. Click the allocate button, this will produce the allocation dialog box. Select the user to allocate the WorkItems to and provide a reason for the reallocation in the text box. The reason will be visible within the process notes of each WorkItem.

In the page you can also:

  • Search for your WorkItems within a specific date parameter, these can be:
    • All Dates - All WorkItems that are allocated to you.
    • Today - All WorkItems that are allocated to you and the start date is today's date.
    • This Week - All WorkItems that are allocated to you and the start date is in the current calendar week. 
    • Custom Dates - All WorkItems that are allocated to you and the start date is within the date range you have selected.
  • Use the standard FSG (Filter Search Grid) functionality
    • Add Fields, Reset Fields, Search, Download, Filter
  • Group processes by any of the column headers
  • View Process Diagram by clicking on the icon in the Actions column - Clicking on this item will allow you to see the entire process. You can see at at glance what has already been done, where you are in the process and what still needs to happen.

Allocate My Teams WorkItems page

When you go into the Allocate My Teams WorkItems page, a grid will appear just like in My WorkItems displaying all the WorkItems you are able to allocate

Reallocating WorkItems:

  • Reallocate a single WorkItem to another user
    • This can be done on an individual basis by clicking on a WorkItem, clicking the Allocate button and selecting a user in the dropdown
  • Reallocate multiple Workitems to another user
    • You can also allocate multiple WorkItems to a single user at the same time, to do this you need to hold down CTRL on your keyboard and select the WorkItems you wish to allocate. Then click on the Allocate button and select a user in the dropdown list

In the page you can also:

  • Search for your WorkItems within a specific date parameter, these can be: All Dates, Today, This Week or Custom Dates
